Copying & Customising Templates

To create a check template that fits your organisation's needs, start by copying an existing system template and then customise it.

Copying a template

  1. Navigate to Check Templates from the main menu
  2. Find the system template you want to base your template on
  3. Click Copy
  4. The copy is created with all the same questions and settings, ready for you to edit

Editing template questions

Each template contains an ordered list of items (questions). For each item you can configure:

Label

The question text shown to the person performing the check. Be clear and specific — e.g. "Are all safety guards in place and secure?" rather than "Guards OK?"

How the user answers the question:

Fail values

Define what constitutes a failure for this question:

  • Pass/Fail — "Fail" is automatically the fail value
  • Yes/No — you choose whether "Yes" or "No" means failure (e.g. "No" fails the question "Is the guard in place?")
  • Number — set minimum and/or maximum thresholds (e.g. tyre depth below 1.6mm = fail)
  • Select — choose which options count as failures (e.g. "Poor" = fail)
  • Text and Photo — these are information-only and always pass

Mandatory

Mark a question as mandatory if it must be answered. In Checklist scoring mode, only mandatory items are considered when calculating the overall result.

Adding and removing questions

  • Click Add Item to add a new question to the end of the template
  • Drag items to reorder them
  • Click the delete icon to remove a question

Creating a template from scratch

  1. Go to Check Templates and click Create Template
  2. Fill in the template information (name, check type, category, settings)
  3. Add questions one by one
  4. Save the template

TIP

It's usually faster to copy an existing template and modify it than to start from scratch.
