Importing Assets
If you have a large number of assets to add, you can import them in bulk using a CSV file rather than creating each one individually.
Import process
The import follows a three-step flow:
Step 1: Upload your CSV
- Go to Assets and click Import
- Select your CSV file and upload it
Your file should include columns for the asset data you want to import. There's no required column naming — you'll map columns in the next step.
Step 2: Map columns
After uploading, AssetBuddy shows you the columns from your CSV file and asks you to map each one to an asset field:
- Category — match to an existing asset category
- Site — match to an existing site
- Description — the asset name/description
- Make/Model — manufacturer information
- Serial Number — the serial number
- Location — a location within the site
- Criticality — Critical, High, Medium, or Low
- Install Date — when the asset was installed
- Notes — any additional information
Not every column needs to be mapped — skip any that don't apply.
Step 3: Preview and confirm
AssetBuddy shows you a preview of the assets that will be created, including:
- How many assets will be imported
- Any validation issues or warnings
- A summary of the data that will be created
Review the preview and click Import to create the assets.
Tips for successful imports
- Prepare your data — clean up your spreadsheet before importing. Remove duplicates, fix spelling, and ensure categories and sites match what's already in AssetBuddy.
- Use existing categories — the category names in your CSV must match categories that already exist in your organisation. Create any new categories first.
- Use existing sites — similarly, site names must match existing sites.
- Date formats — use a consistent date format (e.g.
YYYY-MM-DD) for install dates. - Start small — try importing a small batch first to verify the mapping is correct before importing thousands of records.

If you're migrating from another system, export your data as CSV and use the column mapping step to match your existing column names to AssetBuddy's fields.
