Asset Statuses
Every asset in AssetBuddy has a status that reflects its current operational state. The status determines whether the asset can be used and whether checks should be scheduled for it.
Status overview
| Status | Colour | Meaning |
|---|---|---|
| In Service | Green | The asset is operational and available for use. Scheduled checks are generated normally. |
| Restricted | Yellow | The asset can be used with limitations or caution. A defect may exist but doesn't prevent all use. |
| Out of Service | Red | The asset must not be used. Typically set when a critical defect is found or the asset is awaiting repair. |
| Disposed | Grey | The asset has been permanently removed from service. No further checks are scheduled. |
Status transitions
Assets generally follow this lifecycle:
In Service → Restricted → Out of Service → DisposedHowever, assets can move between statuses in any direction (except back from Disposed in normal use):
- An In Service asset can be moved to Restricted or Out of Service if a problem is found
- A Restricted asset can be restored to In Service once the issue is resolved
- An Out of Service asset returns to In Service after repair and verification
Automatic status changes
AssetBuddy can automatically change an asset's status in certain situations:
- Critical defect with force-OOS — if a check fails with critical severity and the template's fail logic has "force out of service on critical" enabled, the asset is automatically set to Out of Service
- Defect closure restores service — when a defect that isolated an asset out of service is closed and verified, the asset is automatically restored to In Service
When to change status manually
| Situation | Recommended status |
|---|---|
| Asset is working normally | In Service |
| Minor issue found, still usable with care | Restricted |
| Significant defect, must not be used until repaired | Out of Service |
| Asset is beyond repair or no longer needed | Disposed |
WARNING
Setting an asset to Out of Service is an important safety action. Make sure all operators at the site are aware when equipment is taken out of service.
Impact on checks
- In Service and Restricted assets continue to receive scheduled checks
- Disposed assets are excluded from check scheduling
- Out of Service assets may still have pending checks that should be addressed once the asset is returned to service
Required permissions
Changing an asset's status requires the Site Manager or Engineering role (the assets:change-status permission).
